Privacy Policy

Overview
This policy explains what data Vinyl collects while operating in your Discord server, why it's collected, and how you can have it removed. Vinyl only collects what it needs to provide its features, and never collects data from servers it isn't in.
Data We Collect
Depending on which features are enabled in a server, Vinyl may store:
- Identifiers: Discord user IDs, server (guild) IDs, channel IDs, and role IDs, used to associate settings and records with the right place
- Server configuration: command prefix, enabled features, configured channels and roles (moderation log, welcome/leave, level up announcements, ticket category and support role)
- Moderation cases: warnings, kicks, bans, timeouts, and softbans, along with the reason given and the moderator who issued them
- Verification status: whether a user has completed verification in a server that requires it
- Leveling data: XP totals, levels, and earned badges per server
- Custom content staff create: saved custom embeds, autoresponder triggers and replies, and welcome/leave message text, all authored by server staff through Vinyl's commands
- Giveaways: the prize, winner count, host, and the list of user IDs who entered
- Tickets: the ticket's channel ID, who opened it, and its open/closed status
- AFK status: a user's self-set AFK reason, cleared automatically on their next message
- Language preference: the language a user has chosen for auto-translated responses
Message Content
Vinyl reads message content only to check for things like automod triggers, autoresponder matches, translation requests, and XP-eligible activity. Full message content is not stored long-term. The exceptions are: a short-lived record used for spam detection (automatically deleted after 7 days), and the single most recently deleted message per channel, kept in memory for the snipe command until the bot restarts or a newer deletion replaces it.
How We Use It
Collected data is used only to operate Vinyl's features within the server it was collected in: enforcing moderation and verification, tracking levels and badges, running giveaways and tickets, posting the welcome, leave, and custom messages staff configure, and remembering a user's translation language preference. It is not sold, shared with advertisers, or used for anything outside of running the bot.
Third Parties
Vinyl's data is hosted on MongoDB Atlas. The translate command and auto-translation feature send only the specific text being translated to Google Translate to get a result back; no other data accompanies that request. Vinyl otherwise does not share collected data with third parties.
Retention & Deletion
Data tied to a server is kept for as long as Vinyl remains in that server, so its features keep working correctly. If Vinyl is removed from a server, that server's data is no longer accessed or updated. To request full deletion of a server's or user's data ahead of that, reach out through the support server and we'll take care of it.
Security
Access to Vinyl's database is restricted and credentials are kept private. While no system can be guaranteed perfectly secure, reasonable measures are taken to protect stored data from unauthorized access.
Children's Privacy
Vinyl is intended for use on Discord, which requires users to meet Discord's own minimum age requirement. Vinyl does not knowingly collect data from users who don't meet that requirement.
Changes to This Policy
This policy may be updated as Vinyl's features change. Significant changes will be reflected here with an updated date at the top.
